embark2 booking conditions
- Introduction
This document sets out the general booking conditions which, together with our privacy policy and Code of Behaviour, will apply to your booking with embark2.
There may be specific booking conditions for particular holidays and when this is the case they will be sent to you and any differences brought to your attention prior to booking.
- Your booking
A booking will exist as soon as we issue a confirmation of your booking. Your booking is made on the terms of these booking conditions. When you make a booking you guarantee that you accept the terms of these booking conditions.
Embark2 is not responsible or cannot be held liable for the failure, delay or cancellation of any travel arrangements which do not form part of your holiday booking with us.
- Paying for your holiday
You will be required to pay a deposit or make full payment for your booking at the time of booking.
When you make your booking you must pay a deposit for all holidays
Where you only pay a deposit you must pay the full balance by the balance due date notified to you which will usually be at least 10 weeks before your departure date.
If the deposit and/or balance is not paid in time, we shall cancel your travel arrangements. If the balance is not paid in time we shall retain your deposit.
For certain types of holiday, a different deposit may apply. If this is the case for your holiday you will be advised of the deposit required before making your booking.
- If You Want To Change or Cancel Your Holiday
If you cancel your travel arrangements at any time you must advise us in writing. Changes you request will only be amended on the day we receive your notice of change or cancellation.
Since we incur costs in cancelling your travel arrangements, you will have to pay cancellation charges as follows (see also the exception below):

Note: If the reason for your cancellation is covered under the terms of your travel insurance policy, you may be able to reclaim these charges.
You can transfer your booking to another member of embark2, who satisfies the conditions that apply to this booking, by giving us notice in writing at least 7 days before your departure date. You are responsible for paying all the costs we incur in making the transfer.
- If we cancel your booking
We reserve the right to cancel your booking. We will not cancel less than 10 weeks before your departure date, except for unavoidable and extraordinary circumstances, or failure by you to pay the final balance. Unavoidable and extraordinary circumstances mean a situation beyond our control, the consequences of which could not have been avoided if all reasonable measures had been taken.
The minimum number of passengers required to operate each holiday can vary. If you would like to know the minimum number required to operate your holiday please ask us at the time of making your booking. If your holiday is cancelled you can either obtain a refund of all monies paid to embark2 or accept an alternative holiday of comparable standard from us if we offer one (we will refund any price difference if the alternative is of a lower value).
- Special Requests
If you have any special requests (for example dietary requirements, special assistance or room location), please let us know at the time of booking
- Final Travel Arrangements
For travel abroad, please ensure that all your travel, passport, visa and insurance documents are in order and that you arrive in plenty of time for checking in at the airport. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements.
- Insurance
Adequate travel insurance is a condition of your booking. You must take out a policy of insurance in order to cover you against the cost of travel delay or cancellation of your holiday; the cost of assistance (including repatriation) in the event of medical emergencies such as personal injury, illness; loss of baggage and money; and other expenses. We cannot be held responsible for any costs you incur as a result of failing to obtain adequate travel insurance.
